4. Application assessment and use of AI
Applications will be reviewed by Valerie Forgeard and Patricia Elias.
AI tools may assist with summarising, organising, categorising, comparing, ranking or scoring applications against the stated selection criteria.
AI-generated assessments are advisory. They will not make the final selection decision. Every complete application will receive meaningful human review, and Valerie Forgeard and Patricia Elias will remain responsible for all final decisions. An applicant will not be rejected solely because of an AI-generated score, ranking or recommendation.
AI will not be instructed to infer an applicant’s health, disability, race or ethnicity, religion, political opinions, sexual orientation or other sensitive or protected characteristics. These characteristics will not form part of the selection criteria.
Where reasonably practicable, direct contact details and unnecessary identifiers will be excluded before application content is processed through an AI system.
AI-assisted assessment will use:
Provider and product: ChatGPT Pro in a personal workspace, provided by OpenAI OpCo, LLC
Provider location: United States
Processing or storage locations: The United States and other jurisdictions in which OpenAI’s affiliates, partners and service providers operate
Information processed: Application information relevant to assessment and group formation may be entered into ChatGPT Pro. Email addresses and telephone or WhatsApp numbers will be removed before processing. The information processed may include applicants’ names, country or region, profession, organisation or affiliation, website or LinkedIn links, professional and lived experience, motivation, AI experience, eligibility confirmations and other application answers.
Because some identifying information may remain, these responses are not anonymous. ChatGPT Pro will be used to assist with summarising and comparing applications against the published selection criteria and recommending balanced, cross-sector groups. Its outputs are advisory only. Valerie Forgeard and Patricia Elias will conduct human review and make all final selection and group-composition decisions.
Purpose: Assisting with application summarisation, organisation, comparison, ranking and scoring against the published selection criteria. AI output is advisory, and all final decisions are made by Valerie Forgeard and Patricia Elias following human review.
Retention: Temporary Chat will be used. OpenAI states that Temporary Chats do not appear in chat history, do not create memories and are automatically deleted from its systems within 30 days, subject to limited safety or legal retention.
Model training: Temporary Chats are not used to train OpenAI’s models. The ChatGPT setting “Improve the model for everyone” will also be switched off before application processing begins.

Privacy questions and requests to exercise rights available under applicable data-protection law may be sent to [email protected]. This does not create a right to individual application feedback or disclosure of confidential selection deliberations.
5. Legal grounds
For individuals protected by the Personal Information Protection Act of the Republic of Korea, information is processed with informed consent and on other grounds permitted by applicable law.
For individuals protected by the EU GDPR or UK GDPR, processing may be based on:
- Taking steps at the applicant’s request before possible participation;
- Legitimate interests in administering applications, selecting an effective cohort, preventing misuse and operating the programme;
- Performance of the participation arrangement for selected participants;
- Consent for optional communications and other processing where consent is specifically requested; and
- Compliance with legal obligations.
Where legitimate interests are used, those interests will be considered against the applicant’s rights, interests and reasonable expectations.
6. Who may access the information
Overseas access by Patricia Elias for selection
Application information may be made available electronically to Patricia Elias in Lebanon for confidential application assessment, selection and group composition.
Recipient: Patricia Elias
Country: Lebanon
Information accessed: The application information described in Section 2, together with relevant assessment and selection information
Purpose: Human review of applications, participant selection and recommending balanced group composition
Timing and method: Secure electronic access after submission and during the assessment and group-formation process
Retention: Access will be limited to what is reasonably necessary for assessment, selection and group formation. Any separately retained information will be handled according to the retention periods in Section 10.
Contact: [email protected]
This access is separate from the optional transfer of name and email address for No Peace Without Women petition communications. If an applicant refuses this necessary selection access, the application cannot be fully assessed through the published selection process.
7. Paperform and overseas processing
The application is provided through Paperform, an online-form service operated from Australia.
Paperform states that ordinary form-submission data is stored through Amazon Web Services in the United States. Application and technical information is therefore transferred electronically outside the Republic of Korea when the form is accessed, completed and submitted.
Paperform location: Australia
Storage location: United States
Information transferred: Application and technical information described above
Purpose: Transmitting, hosting, storing, securing and managing applications
Timing and method: Electronic transmission when the form is accessed, completed and submitted
Paperform contact: [email protected]
Paperform privacy policy: https://paperform.co/privacy/
Application information may also be processed in the countries identified in the AI-provider section.
Applicants may refuse overseas processing. However, because Paperform and the identified AI service are used to receive and assess applications, refusal may mean that the application cannot be submitted or assessed through this process.
8. Optional No Peace Without Women communications
Submitting an application does not automatically subscribe an applicant to No Peace Without Women communications.
Applicants may separately and optionally choose to receive campaign news, calls to action and related updates from Patricia Elias.
If an applicant opts in, Valerie Forgeard will transfer only the applicant’s name and email address to Patricia Elias.
Patricia Elias will act as an independent data controller for these communications after receiving the opted-in contact information.
The complete application and application answers will not be transferred to Patricia Elias for campaign-communication purposes.
Refusing or withdrawing this optional consent will not affect eligibility, assessment, selection, participation or recognition.
Before transfer, consent may be withdrawn by contacting [email protected]. After transfer, newsletter requests may be directed to [email protected].
9. Programme communications and collaboration platforms
Selected participants may be invited to communicate through email, online meeting services, WhatsApp or another collaboration platform.
When joining a WhatsApp group, a participant’s telephone number and profile information may be visible to other group members. Messages and materials shared in the group may also be visible to all members.
Selected participants will receive relevant platform information before use. They must not use another participant’s contact information for unrelated purposes or add another participant to a mailing list without permission.
10. Retention
Unsuccessful applications and related correspondence will normally be deleted or irreversibly anonymised within three months after application outcomes have been communicated.
Applications and programme-administration records relating to selected participants will normally be retained until 5 September 2027 and will then be deleted or irreversibly anonymised, unless longer retention is required by law or reasonably necessary to establish, exercise or defend a legal claim.
Records demonstrating newsletter consent, transfer or withdrawal may be retained for as long as reasonably necessary to demonstrate that communication preferences were respected.
Information held in service-provider backups may remain temporarily after deletion from active systems, subject to the provider’s backup and deletion procedures.
11. Security
Reasonable technical and organisational measures will be used to protect information against unauthorised access, loss, misuse, alteration or disclosure.
These measures include restricting access, protecting relevant accounts, using reputable providers, avoiding unnecessary distribution and deleting information when it is no longer required.
No internet-based service can guarantee absolute security.
12. Your rights
Subject to applicable law, applicants and participants may have the right to:
- Request access to their personal information;
- Request correction of inaccurate or incomplete information;
- Withdraw consent where processing relies on consent;
- Request deletion or restriction of processing;
- Object to certain processing;
- Request an applicable portable copy;
- Obtain information about overseas processing;
- Exercise any rights concerning automated processing that apply under applicable law; and
- Complain to a competent data-protection authority.
- Applicants are not entitled to individual feedback, scores, rankings or reasons for a selection decision, except where disclosure is required by applicable law. Confidential selection deliberations and information concerning other applicants will not be disclosed.
Withdrawing required processing consent or requesting deletion before selection is completed may mean that the application can no longer be considered.
Withdrawing optional communication consent will not affect the application or participation.
Requests may be sent to [email protected]. Identity verification may be required.

13. Right to refuse
Providing personal information is voluntary. However:
- Required application information is necessary to assess the application;
- Refusal to provide required information means that the application cannot be assessed;
- Refusal of necessary overseas processing means the application cannot be submitted or assessed through the identified services; and
- Refusal of optional campaign communications has no effect on eligibility, assessment, selection, participation or recognition.
